The RDA’s 23rd Plenary will be held in San José, Costa Rica, 12-14 November 2024. The 23rd Plenary is a hybrid meeting for both in-person and virtual attendance.

RDA groups are invited to submit a session proposal indicating an interest in organising a meeting for the RDA’s 23rd Plenary. The RDA Plenary meetings are working group sessions. Please take into account the need for a well-thought-out agenda, a diverse lineup of speakers, and time for discussion and networking when applying.

Session submission overview

Pathways

Nine research data-related topics of interest, known as ‘pathways’, have been identified for P23. Pathways were created to help navigate the plenary programme by themes. Group session applicants will be asked to list up to three possible pathways that their session might (best) fit into. Further information is available on the pathways webpage.

Registration

Group chairs of accepted session submissions will be required to register and pay for P23. Registration fees can be viewed here.

Breakout Session Slots

Costa Rica is in Central Standard Time (CST) and 6 hours behind Universal Coordinated Time (UTC).

Submission process

RDA working and interest groups, joint session, and birds of a feather applications should submit one of the forms below. The forms are currently under development, therefore we ask you to familiarise yourself with the submission process:

  1. Forms can be submitted by group chair(s) only.
  2. A session submission webpage will be automatically generated upon submission completion. The RDA Secretariat will manually link your session submission webpage to your group’s plenary tab. Once linked, it will be visible to all group members.
  3. A submission is editable only by the person who submitted it. To edit, please go to Member portal > Personal Information > Session Entries > Open your session.
  4. A Comments function is a new feature that will allow group members (being logged in) to comment on the submission.
  5. Approved sessions will be allocated to breakout times based on your indicated preferences.
  6. At least one group chair must physically attend P23. We cannot accept sessions chaired fully online.

Session submission form descriptions

* Working and/or Interest Group sessions
These sessions provide existing RDA groups the opportunity for discussion, sharing experiences and best practices, and laying down concrete action plans; although members are free to design the meeting format, a working meeting structure is strongly encouraged.

* Joint group sessions
These are meetings that combine multiple Working and/or Interest Groups to explore potential synergies, share findings and coordinate efforts.

* Birds of a Feather (BoF) sessions
If there is something you wish to see discussed but is not currently covered in an Working or Interest Group, you are encouraged to submit an application for a BoF session. Aimed at exploring new future Working or Interest Group topics, BoFs can help you identify an audience, build support and start the work on your Case Statement or Charter.
