    Hi all.
I just connected with RPI today and they have agreed to submit for us as the supporting organization to receive the Sloan funding, in compliance with the Sloan overhead policy, with Mark Parsons as the PI. Furthermore, my contact has been working with Josh on another request and plans to give him a heads up today of our plans to submit for IDW with Mark as the PI, to ensure there are no concerns from him.
As soon as RPI receives all of the documentation from us, they will submit, which can be as soon as today or tomorrow. Documentation I plan to provide to RPI are as follows:
    · Proposal cover sheet and admin form with Mark’s contact info – Mark, can you review to make sure your contact info is correct?
    · Agenda in Word doc (attached)
    · Invitation letter with Mark’s name as signer
    · Statement of diversity and evaluations (same version as provided by Simon)
    · Overall budget – Based on feedback rec’d from Josh, I think the format we submitted to NIST would be acceptable (see attached), less the overhead charge. If you agree, I’ll give to RPI and get their thoughts.
At your earliest convenience, please provide your feedback and I’ll work with RPI on submission asap.
    Thank you.

    Dear colleagues,
Please find attached draft materials that I have prepared for Sloan.
We need to provide the following (with comments on current status):
    – a Sloan proposal cover sheet (avail on our website) – attached, largely complete, please comment and edit. We need to decide who will be the PI and the recipient institution. Will this go to CMP or the RPI or ANOther?
    – a signed proposal admin form (avail on our website) – attached, but not edited until we decide on the above
    – an agenda – I have linked to the agendas – I tried to pdf the agenda ! the IDF but it messed up – any help with that please?
    – a letter of invitation – draft attached.
    – a statement of attention to diversity – draft attached
    – a statement of evaluation plans – draft attached
    – an overall budget (presumably for the “bridge” day, not the full event), with some indication of where Sloan funds will go (understanding that this allocation may shift as necessary)
For the latter, I subsequently wrote to Josh:
As discussed, we would like to be as ! flexible as possible our use of this, so that is appreciated. It may then be most appropriate to provide the budget for the event as a whole, rather than just the International Data Forum ‘bridge day’. Would that pose an issue?
    And he replied…
    I think that’d be fine…
So, I suppose this means that we can present a high level budget for the whole event and a statement of how the Sloan money will help and how precisely we will use it (say what breakdown between sponsorship, event, speaker expenses).
I will liaise with Josh in parallel, but please do give specific feedback on the documents and on who should be the PI and the recipient organisation.
    Best wishes,
    Simon.

    Hi Yolanda,
    Thanks for this. That’s great.
I will need to edit the statement of diversity and evaluation as requested by Josh. I am running out of time to do that today, but I will get an updated version to you for consideration before 9am Eastern tomorrow morning.

    Dear Yolanda, Mark, all;
Thanks to Yolanda for circulating these documents and to Mark for making a start on the evaluation plan at https://docs.google.com/document/d/1y3nLSFm4JMehHtjVWza1jFo3sRula_tpNEFx
I have made some edits to the statement on attention to diversity (in line with previous comments) and I have expanded the evaluation plan. To do the latter, I have simply made some edits to what Mark produced (most significantly expanding the section on SciDataCon) and added this to the document for Sloan, now attached. I hope you think this is reasonable. I think the evaluation plan is emerging well and in the interests of speed we may as well share this now.
I’m keen for feedback and comments and can work on this further if people think that is necessary.
    With very best wishes,
    Simon.

Thanks, Simon. I made some minor edits to tighten the language and style (attached). I’ll send this to RPI today and let the group know if additional changes will be necessary prior to submission.
